Welcome to LSW Music Parents 2016-17

Good afternoon,

I hope that everyone has enjoyed their summer and is ready to get school started again. If your student is no longer in the music program, please let me know your students name and I’ll remove you from our software. I do my best to not flood your inbox with information, as a result sometimes my emails can be a bit long.

Let me start off by saying thank you for the privilege of being the Music Parent President for the 2016-17 school year, this will be my four year in the position. In addition to volunteering for this position; I’ve got a full time job, a wife and four kids (from 9th to college junior) who are in involved in all areas of the music program, sports and the crazy schedule that comes with it.

The more involved I’ve become the more I’ve been blessed with getting to know the very talented students we have at LSWHS. Even if you don’t see my name on a volunteer sheet I’ll be around somewhere helping out. Please include your younger children as mine have enjoyed it over the years.

Our first music parent meeting will be August 30th at 7pm. Our music parent meetings cover a variety of topics. Each meeting is different on duration but I do my best to keep it to an hour or under, this first meeting is usually the longest and most attended. Music parent meetings are not mandatory but we’d love to have you there.

If your student has money in their student accounts please remember that they can be used for music related fees, this includes the activity fee that was required at registration. If you would like to do this, please visit CHARMS to get a copy of the Student Account Request located in the Forms section of the handouts. Forms and other information for the music parents organization can be turned into the lock boxes that are located in the band or choir rooms. We also have a mail box at LSWHS.

I’ll be sending out a monthly music program update that will include what’s been going on, what’s coming up, information from the music directors, volunteer needs, etc. Some news and notes:

– Music parent meeting as I mentioned above on August 30th at 7pm.

– Ice Cream Social – This year it’s on September 20th, it’s our biggest general fundraiser and a great time to enjoy fine music performed by our students and a good meal. We need many volunteers to help make this event possible. Please mark your calendars to watch the students and volunteer! Tickets and a letter will be sent home with your student shortly. If you’d like to help with the Ice Cream Social committee, please let me know.

Attached is a music parent handbook. Our hope is that this guide will help new and experienced parents alike as to what the Music Parents Organization is about and how we support the LSWHS music department. I’m also attaching how to access CHARMS. Charms is our software that we use to email, keep track of student account financials, volunteer needs, etc.

We hope to see you at the meeting as we have a lot of events planned and need your active participation. If you should ever have any questions, concerns or comments please contact me via email, call or text. I’ll get back to you as quickly as I can and don’t hesitate to grab me at a function.

Looking for a few volunteers to help stuff Award envelopes

Good morning,

I’m looking for about four people that are willing to come over to help my wife and I stuff award envelopes tonight starting about 6:30pm. We won’t go any later than 9pm regardless of how far or not far we get.

The main goal is to get the hundreds (yes hundreds) of certificates into envelopes tonight.

LSWMP News (for parents and students)

Good morning,

I’d like to give a huge THANK YOU to all of those that volunteered at the Music Festival in March and April.students, parents along with other family and friends. I don’t have the final figures yet for the student accounts, waiting on what we’ll get for door monitor reimbursement from the state, our concessions sales were down this year however. Congratulations to all of the students for their hard work and for receiving awesome scores.

News and notes:

Trash bag fundraiser – Everyone should have received an email with information. If not please contact the fundraising coordinator at lswmusicfundraising@gmail.com

Mattress Fundraiser – Everyone should have also received information for this from Mr. Thurmond, if not please contact him at Clifton.thurmond@lsr7.net. There is an opportunity for individual funds for this as well.

Senior scholarship – Seniors all received an email from me about this, turn all information in by the 20th.

Officer elections – We’ll be electing officers at our next meeting on April 21st. Currently the Music Festival position is open if anyone would be willing to head this.

Lettering information – Teachers should soon be making this available for all students to fill out. If you don’t fill out the google document then there won’t be awards for you at the awards show. Awards are provided by the music parents organization for the students that attend this event. Look for more information coming on this.

Fireworks tent – For those that have been around this before, we got it this year! For those that haven’t, LSW will host a fireworks tent that is run through Pyro City out of Lone Jack by the music parents. In this past this has been a general fundraiser, this year it’s going to be an individual fundraiser completely. I’ll be able to provide more information on this at a later date, likely towards the end of May.

Volunteers Needed

Time is flying….State Music Festival for large ensembles is just over a week away!

Area schools will be bringing their bands, choirs and orchestras to LSW beginning on Wednesday, April 6th. In order for this event to be successful, we need the assistance of our wonderful parent support group. Basically all volunteer positions are needed over the 4 days of the festival. Please go out to Charms to sign up and get ready to enjoy some marvelous music!

Students can also assist with stage set-up during this festival. Student sign-ups will be posted outside the Choir room Tuesday.

LSW Music Festival – Large group

Good afternoon,

I hope everyone has been enjoying the nice weather, even if the past couple days have been cooler. Spring break is here so hopefully it’ll warm up nicely for the kids.

Thank you to all of the parents that volunteered at the solo/small ensemble festival. It was a wonderful success. Many parents volunteered for several shifts and it’s very much appreciated. Without parents our festivals couldn’t happen.

We’re now moving onto the second stage of the festival, large group. These will be happening April 6th – 9th, each of our students will be performing at some point during this festival. In order for this event to be successful, we need the help of our amazing parent support group. Volunteers are very important to make sure this festival held at LSW so that we don’t have to travel to another school. We’ll make sure you get to see your student perform so please don’t let that stop you from signing up.

Adults only please use charms to sign up, students can sign up once they get back from spring break on signup sheets outside the choir room. Please sign up and get ready to enjoy some marvelous music!

LSW Music Fundraiser – Minsky's Pizza – Saturday, March 12

Minsky’s will be providing 20% of their sales back to the LSW Music Department for dine in, carryout, and delivery orders made on Saturday, March 12. To receive credit, you may bring in the flyer, show it on your phone, or just mention it to the cashier. It is valid only at the Lee’s Summit location in the Valle Vista Shopping Center on Highway 291. Their hours are 11 am to 1:30 am.

Panera Bread Fundraising Night – Wed, 2/17

Hello! Our next fundraising night will be Wednesday, Feb 17 from 4 pm to 8 pm at the Summit Woods Shopping Center location. Families need to either bring a printed copy of the attached flyer or they may show a copy of the flyer on their phone to the cashier before ordering. Another option is to order online using our fundraiser code and picking up at the Rapid Pick-Up area. There are instructions included on the flyer for online orders.

The LSW Music Department will receive 20% of all purchases provided that we have at least 50 people participate. We are not allowed to pass out flyers onsite.

LSW Music Patches

Music students/parents,

The Music Parents organization sends in a bulk order for participation patches each year. These are commonly displayed on the back of letter jackets but some families choose to make a blanket, scrapbook or other keepsake display. These are optional and are also available individually through Summit Sports though prices will be different as we get a discount for our bulk order. The “rockers” are the year bars to add around an original year patch for multiple years in same group if you prefer this over buying the patch for each year.

This IS NOT the actual music letter. Each director has criteria for these and they are presented at the music awards night in the spring. Please print and fill out the attached form and enclose it with a check or request to use student account form from Charms Office. If you have multiple students, please fill out an order form for each but you can write one check. Please place in an envelope and use/have students use the locked drop boxes in instrumental/choir
rooms to turn in. The directors do not collect this order.

LSW Music Festival

Good evening,

The Music Festival is quickly approaching. The Festival has two major components: solo/small ensemble and large ensemble. At this time I’m only focusing on the solo/small ensemble.

What is the solo and small ensemble Music Festival?

This event occurs over two days at LSW for the surrounding schools in the district (approximately 12 schools). Vocal solos/ensembles are scheduled on Friday, March 4th and instrumental solos/ensembles on Saturday, March 5th. Students can choose to perform a solo, or in a small group (usually less than 8) or can do both. The festival takes place in approximately 16 classrooms at LSW. There is a judge in each classroom and students are assigned to perform in one of those classrooms. Friends and family are able to come into the classroom and listen. The judge will score the performance from a 1 (the best) to a 5 (not so good). Students that receive a 1 rating will be eligible to perform at State Music Festival (held in late May at the University of Missouri-Columbia campus).

Why do we need volunteers?

We cannot host the festival without several volunteers. Over these two days we will need about 125 volunteers (not including students). We are asking each family to volunteer for at least one-two shifts. It is a great way to help the music department, support your child, and get to know some other great music parents. An added bonus is that you will hear some very talented students and groups. And no musical talent is required for any of the volunteer opportunities!

The festival also provides a number of jobs where students can assist; it’s a great way to fulfill their volunteer hours! Student volunteer sign-ups will be posted on the choir room doors shortly.

We also run a concession stand during the festival; the proceeds allow the music parents to support our music students in a great number of ways.

The kids probably will not receive their performance times until the week before the festival. If you happen to volunteer during the time your child performs, I will make arrangements so that you can still hear them perform. I compare the performance times for each child to the times that the parents have volunteered. If there is a conflict, then I will either assign you to your child’s room or arrange for you to switch with another parent when it is time for them to perform. Please don’t let this stop you from volunteering now.

Setup Crew – Prior to contest beginning adjust classroom configuration into contest configuration
Room Monitor – Assist judge by ushering students into room for performance and maintain semi-quiet environment outside room during performance
Information Table – Provide information to individuals on location of rooms, concessions and restrooms
Clean Up Chief – Manage students to ensure classrooms are returned to original state after contest concludes
Clean Up Crew Student – After contest ends, remove stands/chairs and arrange desks back into classroom configuration
Concessions – Receive money, prepare food and serve customers
